This summary is for convenience. The full policy below is what applies.
Who we are
AquaEdits, Inc. (“AquaEdits”, “we”, “us”) runs the AquaEdits website, the AquaEdits studio, and the editing service we provide through them (together, the “Service”). This policy explains what personal information we collect through the Service, how we use and share it, and the choices you have. We’re responsible for that information as its controller.
This policy doesn’t cover other companies’ sites and services, such as Stripe’s checkout and billing pages, which have their own privacy policies. Your use of the Service is also subject to our Terms of Service.
What we collect
Your account
When you create an account, our sign-in provider, Clerk, collects your email address and, depending on how you sign in, your name, profile picture, and sign-in details. Your Clerk user ID identifies your account in our systems.
Billing
Stripe collects your card and billing details directly when you check out. We never receive your full card number. We store your Stripe customer and subscription IDs, your subscription and trial status, your billing period dates, and how many video credits you’ve used. We give Stripe your account ID so your payments are matched to your account, and Stripe tells us whether they succeed.
Your uploads and edits
We store the recordings you upload, which can include voices, faces, gameplay, and on-screen chat, including other people’s. We also store each file’s name, size, and technical details such as duration and resolution; what you tell us about each edit, such as its name, notes, style, section, and target length; and what we make from it, including transcripts, scene analysis, previews, timelines, and project files. We keep a record of each edit’s progress and processing times.
Usage and device information
On our public pages, Vercel Web Analytics records anonymous page views: the page, the referring site, your approximate location, and your device and browser type. It doesn’t run in the studio or on the sign-in page. Our hosting and service providers also keep technical logs, such as IP addresses, browser types, the pages and endpoints requested, and times, which we use to run and secure the Service.
When you contact us
If you email us or book a call, we receive what you send us, such as your name, email address, and message. Calls are scheduled through Calendly, which collects the details you enter when booking.
How we use it
- To provide the Service: signing you in, storing your uploads, making your edits, and delivering your downloads.
- To run your plan: starting trials and subscriptions, tracking credits, and taking payments through Stripe.
- To keep the Service secure and working: checking that each request comes from the account that owns the data, preventing abuse and fraud, and investigating failed edits.
- To improve the Service: using aggregate page-view counts and edit processing times to see how the site is used and where edits are slow.
- To communicate with you: answering your questions and sending messages about your account, your billing, or changes to our terms.
- To meet legal obligations: keeping required records and responding to lawful requests.
If you’re in the European Economic Area, the United Kingdom, or Switzerland, we rely on these legal bases: performing our contract with you (for the Service and your plan); our legitimate interests in securing, supporting, and improving the Service, balanced against your rights; compliance with legal obligations; and your consent where we ask for it.
AI processing
Your edits are made by automated systems. When you create an edit, we send the section you chose to two AI providers:
- Deepgram receives the audio and returns a transcript with speaker labels.
- Google, through the Gemini API, receives copies and clips of the video, mostly at reduced resolution, along with transcript excerpts and the notes you wrote. It identifies scenes and helps assemble the cut.
Each provider handles your content under its own terms, which may let it keep the content to process it, to detect abuse, or for other purposes those terms allow. We don’t use your recordings, transcripts, or edits to train AI models, and one customer’s footage is never used to make another customer’s edit.
These automated decisions are about your video, such as which scenes to keep. They don’t produce legal or similarly significant effects for you.
How long we keep it
- Uploads and edits stay in your account until you ask us to delete them or to close your account. That lets you make new edits from the same stream and download past edits, including after you cancel.
- Account and billing records are kept while your account is open. After it closes, we keep billing records only as long as tax and accounting laws require.
- Unfinished uploads: the partial files of uploads that never complete are discarded after seven days.
- Working files made while an edit runs, such as the audio sent for transcription, are discarded when processing ends.
- Logs and backups: our service logs are kept for up to 30 days, and database backups for 14 days.
When you ask us to delete your data, we remove it from our active systems within 30 days. Copies in backups and logs expire on the schedule above. Stripe keeps payment records as its own legal obligations require.
How we protect it
- Information travels over encrypted connections, and our storage and database are encrypted at rest.
- Uploads are kept in private storage that isn’t publicly accessible. Upload, preview, and download links are issued only to your account and expire: upload links after 15 minutes, preview and download links after an hour.
- Every studio request is checked against your signed-in account, and each edit is processed in its own isolated job that can’t be reached from the internet.
- Only the people who operate the Service can access production systems. We access your content only to run, support, or secure the Service, or when the law requires it.
No system is perfectly secure. If you find a security problem, please email help@aquaedits.com.
Your rights and choices
Depending on where you live, you may have the right to:
- know what personal information we have about you and get a copy of it in a portable format;
- correct information that’s inaccurate;
- have your information deleted;
- object to or restrict some processing, or withdraw consent you’ve given;
- opt out of the sale or sharing of your personal information (we don’t sell or share it);
- use these rights without being treated differently.
To make a request, email help@aquaedits.com from the address on your account. We’ll confirm the request is yours before acting on it and respond within 30 days. If we need more time, as the law allows in some cases, we’ll tell you. Where the law allows, you can use an authorized agent, and we may ask the agent for proof. If you’re in the EEA, the UK, or Switzerland, you can also complain to your local data protection authority.
You can update your name and email address in Account settings in the studio, download your edits at any time, and manage or cancel your subscription in Manage billing.
International transfers
We’re based in the United States, and we store and process your information there. Some of our providers may also process it in other countries. When we transfer personal information from the EEA, the UK, or Switzerland, we rely on the safeguards in our providers’ data processing terms, such as the European Commission’s Standard Contractual Clauses.
Children
AquaEdits is for adults. You must be 18 or older to create an account, and we don’t knowingly collect personal information from anyone under 18. If you believe a child has given us personal information, email us and we’ll delete it.
Changes to this policy
We may update this policy. We’ll post the new version on this page and change the date at the top. If a change is material, we’ll tell you by email or in the studio before it takes effect.
